Privacy policy

How CrewIQ collects, uses and protects your personal information. Last updated 21 September 2026.

CrewIQ ("we", "us", or "our") is committed to protecting the privacy and security of your personal information in accordance with the Australian Privacy Act 2025.

1. Data Collection

We collect personal information including your name, email address, employment details, and DISC personality assessment results. This data is collected with your explicit consent and is necessary for providing our People Intelligence services.

2. Use of DISC Assessment Data

Your DISC personality assessment data is used solely for workforce optimisation purposes, including team composition analysis, management guidance generation, and applicant-to-role matching. This psychological data is treated with the highest level of confidentiality.

Some of these features use artificial intelligence. We use an established third-party large language model provider, and inference is performed in the United States. Your name, role, DISC scores, qualifications and, for applicants, screening answers may be included in the information sent to that provider so it can generate management guides, crew analyses, applicant suitability scores and answers in the Ask CrewIQ assistant. We do not permit the provider to use this information to train its models.

2a. Automated decision-making assistance

CrewIQ uses computer programs, including AI models, to produce suitability scores, match explanations, risk flags and crew composition analyses from your DISC results, qualifications, role requirements and screening answers. These outputs assist a human manager who makes the final decision about hiring, placement or team composition; they do not make that decision on their own. You may ask the business you applied to, or contact us, to explain how a score was produced and to have it reviewed by a person.

3. Subcontractor Data Treatment

If you are a subcontractor, your data is subject to additional protections. Your personal information and assessment results are only visible to authorised managers within the business you are contracted to, and only for the duration of your engagement.

4. Data Storage & Security

Your records are stored in Australian data centres. Our application compute, our database, and our authentication and document storage are all located in Sydney, Australia. We employ encryption in transit and at rest, role-based access controls, tenant-scoped data access, and time-limited signed URL access for sensitive documents.

Some service providers process limited information outside Australia, all in the United States: an SMS provider delivers verification codes and notifications to your mobile number; an email provider delivers transactional email; and, for the optional voice assistant, speech-to-text and text-to-speech providers process audio and assistant text. A current list of these providers is available on request. We take reasonable steps, including contractual terms and data minimisation, to ensure these providers handle your information in a way that is consistent with the Australian Privacy Principles.

5. Right to Withdraw

You may withdraw your consent at any time by contacting us. Upon withdrawal, we will cease processing your personal data and delete your DISC assessment results within 30 days, unless retention is required by law.

6. Contact

You may request access to, or correction of, the personal information we hold about you. We respond within 30 days. If you have a complaint about how we have handled your information, contact us first; if you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (oaic.gov.au).
